Role Based Access Permissions

The right people see the right information — and only the right people can act on it.

Granular Control Over Every User's Access

With Stay In Business, your business continuity solution is protected through role based access permissions that facilitate secure access to data — ensuring the confidentiality of sensitive information is always maintained. Administrators define access permissions for employees based on their responsibilities and level of expertise.

Role based permissions are built on two foundations: User Profiles — a basic identity describing each employee — and Roles — the authorization to manipulate data through actions such as viewing, editing, and deleting. Multiple users can be grouped together, and customized roles can be mapped to entire teams.

  • Permissions defined per employee or team
  • Applied across all platform modules
  • Controls import/export and document access
  • Roles for external entities — vendors, suppliers, customers
Three Access Levels
Employee

Access limited to their team's contacts, processes, department info, and facilities — nothing beyond their scope

Mid-Level Manager

Broader navigation through the platform with fewer restrictions — can oversee team and cross-department data

Leadership

Unrestricted access — a panoramic view of all modules, plans, and organizational data

How Role Based Permissions Are Structured

Permissions operate at two layers — module access and data manipulation — giving administrators precise control at every level.

User Profiles & Roles

Every employee has a user profile — a basic identity record. Roles define what that user is authorized to do: view, edit, delete, or manage data. Profiles and roles are combined to create a complete permission set for each individual or team.

  • Profile: who the user is
  • Role: what the user can do
  • Teams share common role assignments

Module-Level Access Control

At the foundation level, employees are either allowed or denied access to specific modules of the SIB application. This ensures staff only interact with the parts of the platform relevant to their role — reducing confusion and preventing unauthorized actions.

  • Allow or deny per module
  • Applies to all platform sections
  • Prevents unauthorized navigation

Data Manipulation Permissions

Within each module, administrators define exactly what a user can do with records — from full edit access to view-only. Granular options include modifying all records, only team records, only self-created records, or read-only access.

  • Modify all / team / own records
  • View-only or view-and-add modes
  • Prevent deletion independently

External Entity Roles

SIB is a truly interactive platform — roles can be created for external entities such as vendors, customers, and suppliers. Multiple interest groups can collaborate in developing your BCM solution while remaining within their defined permission boundaries.

  • Vendor & supplier access roles
  • Customer collaboration support
  • Secure external participation

Further Capabilities of the Permission System

Role based permissions extend beyond user access — they govern every sensitive action across the entire BCDR platform.

Emergency Declaration Control

Only authorized disaster recovery teams can declare a disaster. Only top-level managers can authorize an emergency. Permissions enforce this separation automatically.

Confidential Data Protection

Protect sensitive management and leadership information — contact details, alternate addresses — by restricting visibility to only those with an explicit need to know.

Import / Export Control

Role based permissions control which users can import data into or export data out of the application — preventing unauthorized data extraction or bulk modifications.

Document Archive Access

Permissions extend to all documents archived on the platform — ensuring sensitive BCP documents, reports, and assessments are only accessible to authorized personnel.

Group-Based Assignment

Multiple users can be grouped together and assigned a shared role — making it efficient to manage permissions for large teams without configuring each user individually.

Panoramic Leadership View

Top-level managers and leadership teams are granted unrestricted access — allowing them to take a full organizational view of all plans, teams, and recovery operations.
